Privacy Policy

Room Scan Alpha (operated by Jake Julian, "we" or "us") provides a room-scanning tool that lets homeowners send 3D scans of their rooms to the renovation businesses that ask for them. This policy describes what information we collect through the Room Scan Alpha iOS app and website at roomscanalpha.com, how we use it, who we share it with, and the choices you have. Room Scan Alpha is currently a free, non-commercial beta.
Information we collect
We collect only what we need to operate the service:
| Category | Examples | Why |
|---|---|---|
| Account information | Email address, full name, phone number, mailing address, profile photo | Create your account, contact you about your projects, let the business you sent your scan to reach you about its quote, including by phone or text message if you gave a phone number |
| Room scans | 3D mesh data, video and keyframe photos, depth maps, ARKit camera poses captured during a scan, project address, scope notes | Process your scan into a textured 3D model that contractors use to prepare a quote |
| Project content | Project titles, descriptions, attachments, messages exchanged with contractors | Let you receive quotes and message the business you sent your scan to |
| Contractor beta applications | Name, company, email, phone number, trade, service area, team size, and any note you add on roomscanalpha.com/beta | Review your request to join the contractor beta and reply to you. Applications are emailed to our team and are not stored in our database. |
| Identifiers | Firebase user ID, device push notification token | Authenticate you, send notifications about messages and quote updates |
| Product interaction | Which screens you visit, scans started, projects created, quotes sent | Operate the service and improve reliability |
We do not use third-party advertising networks, behavioural tracking SDKs, or device-level identifiers for advertising. We do not sell your personal information. We do not track you across other apps or websites.
Camera and LiDAR access
The iOS app requests camera access to capture room scans using your device's LiDAR sensor. Capture only happens while you are actively in a scan session. Captured frames are uploaded to our servers so we can build a 3D model and measure the room. They are not used for any other purpose, and they are not shared with third parties beyond the businesses you choose to share your project with and the processing providers listed below.
How we use information
- To create and operate your account, including authentication and password recovery.
- To process scans into 3D models and room measurements. Room layouts are produced automatically by machine-learning models (including SpatialLM) that we run on our own cloud infrastructure; your scans are not sent to any third-party AI service.
- To check and correct scan results. Room Scan Alpha may review the 3D models and room measurements made from your scans and correct them by hand, for example moving a wall the software placed wrongly, so the business you send your scan to gets accurate numbers. This review is done by Room Scan Alpha or by people working on our behalf, who use your scan only for this purpose.
- To deliver quotes and messages from the businesses you shared your project with, and your responses back.
- To send transactional emails about your account, projects, and quotes (via SendGrid).
- To send push notifications about new messages or quote activity (via Firebase Cloud Messaging), if you have notifications enabled.
- To detect abuse, debug crashes, and improve reliability. If you report a message or conversation, we store your report, including the reported messages, so we can review it, and we record any blocks you set so they keep working.
- To comply with legal obligations.
Who we share information with
We share information only with parties that help us run the service, and only to the extent needed:
- The business that sent you the link: your scan, room measurements, project description, address, and contact details go only to the business that sent you the scan link, and to any other businesses shown to you and confirmed by you before you send. We don't list your project publicly or show it to other contractors, and project pages require you or that business to be signed in. Deleting a project removes it for everyone.
- Scan links: when a business sends you a scan link, it may enter your name, email, phone number, and project address so the request is ready for you. Until you accept the link, anyone who opens it sees the business's name, the project title and address, and your first name (never your email or phone). Once you accept it, only you can open it. Link previews in messaging apps never show your address or contact details.
- Google Cloud Platform: hosts our application servers, database, and file storage (Cloud Run, Cloud SQL, Cloud Storage in the United States).
- Firebase (a Google service): authentication, push notifications, and some configuration. Firebase processes your email, phone number, user ID, and device push token. If you sign in with your phone number, Firebase texts you a one-time sign-in code.
- Google Sign-In and Sign in with Apple: optional sign-in providers, alongside email and phone-number sign-in. If you use them, we receive only your email and name (or Apple Private Relay address, if you choose Hide My Email).
- SendGrid (a Twilio service): sends transactional email on our behalf.
- RunPod: provides GPU servers in the United States that process your scan video, depth data, and camera poses into a 3D model. Scan data is processed there temporarily and the results are returned to our Google Cloud storage.
- Google Maps Platform: geocodes the addresses you and businesses enter (for example, a project address or a business's service area).
We do not share your personal information with any party outside the list above. We may disclose information when required by law, valid legal process, or to protect rights and safety.
Where information is stored
Data is stored on servers operated by Google Cloud in the United States, and scan data is processed on RunPod GPU servers in the United States. If you access the service from outside the United States, your information will be transferred to and processed in the United States.
How long we keep information
- Account data is retained for as long as your account is active.
- Scans, projects, and messages are retained for as long as your account is active.
- If you delete your account (see below), we immediately remove your account profile, and your projects stop being viewable by anyone. Within 30 days we permanently delete your scans (video, photos, depth data, and 3D models), your project addresses and descriptions, and attachments you sent in messages. Quotes that businesses sent you are kept on their side for their records, with your contact details removed.
- We may retain limited backups for a short period for disaster recovery.
Your choices and rights
- Access and update: edit your profile information at any time in Account settings inside the app or on the website.
- Stop sharing: to remove a business's access to a project, delete the project or email us at the address below. Quotes and messages they already received stay with them.
- Delete your account: open the iOS app, tap your avatar, tap Account, scroll to the bottom and tap "Delete Account." This removes your profile and contact details right away and permanently deletes your scans and project content within 30 days.
- Notifications: turn off push notifications in iOS Settings → RoomScanAlpha. Email notifications can be disabled per-thread or by request.
- Camera access: revoke camera permission in iOS Settings → Privacy & Security → Camera. The scan flow will not work without it.
- Sign in with Apple: you can revoke our access at any time in iOS Settings → your name → Sign in with Apple.
Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act (CCPA) or the EU/UK GDPR — including the right to access, correct, delete, port, or restrict processing of your personal information. To exercise any of these rights, email us at the address below.
Children
Room Scan Alpha is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it.
Security
We use HTTPS for all network traffic, store data in access-controlled Google Cloud services, and use Firebase Authentication for user accounts. No system is perfectly secure, but we follow standard industry practices to protect your information.
Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Material changes will be communicated in-app or by email.
